Weird Habits To Improve Your Writing Skills

Professional baseball players have any number of superstitions they follow to improve their game. They have lucky underwear or a special charm. They don’t change their socks when they’re on a hitting streak. And no one talks to the pitcher throwing a no-hitter.

I’ve developed some of my own weird habits as a way to improve my writing. My ultimate goal is to make my writing as direct and succinct as possible, and I am always trying different techniques to achieve the desired results. Here are three habits I’ve developed over the years as a way to improve my writing.

1. No Orphan Words

In typesetting lingo, widows and orphans are leftover words in a paragraph or page. Widows are the last line in a paragraph that appears on the next page. An orphan is a single word on its own line at the end of a paragraph.

When I’m using my laptop’s word processor, I will often rewrite entire paragraphs just to get rid of that one trailing word. The orphan isn’t actually a problem in itself, but by eliminating it, I make sure my sentences are as tight as they can be.

2. No Sentence Longer Than The Page Width

Erik Deckers' Smith-Corona TypewriterBack in the 1980s, my friend Bruce Hetrick was the communications director for the mayor of Fort Wayne, and often wrote his speeches. Since he wrote them out on the typewriter, his practice was that no sentence could be longer than 6.5 inches, the width of a single page with one inch margins. He would then rewrite it and lay it out so the mayor could read it (larger type, wider margins), but the original text had to conform to Bruce’s line length rule. This made the mayor’s lines short and easy to say, rather than long sentences that required stopping for a breath in the middle.

This is another sentence tightening technique you can try. By getting rid of extraneous words to make your sentences fit a single line, you can keep everything drum tight. I’ve tried this when I’ve done speechwriting, but I tend not to worry too much about it for my regular writing.

3. Use a Typewriter

I bought an old manual typewriter several months ago, a 1956 Smith-Corona Super-Silent, and started writing my newspaper humor columns on it. Not only is it much slower going — I have to use my index fingers to jab the keys — but there are no delete keys, no copy and pastes, no rearranging paragraphs. I have to yank the carriage return at the end of every line, and there are typos galore.

Everything I do on the typewriter is deliberate and requires forethought. On a computer, I can type and think at the same time, because I type fast. While I’m writing this sentence, I’m already thinking about the next three.

But with a typewriter, it’s much slower. I type out a sentence and because I type so slowly, I can’t think about anything else. I have to sit and think about what comes next. Imagine taking 5 – 10 seconds between sentences before you write the next one. Then when you type it, you either have to follow the direction it’s going to take you, or you have to go back to the beginning of it and start X-ing out the sentence and typing a new one.

While it hasn’t changed my overall writing habits, using a typewriter is causing me to use some different writing muscles that I haven’t used since I was 14 and would play around on my parents’ electric Smith-Corona.

My wish as a writer is to sound more like Ernest Hemingway, Elmore Leonard, or Mike Royko, all masters of the short, powerful sentence. These three writing habits have helped me work toward that goal, although there’s always something new I can do.

Content Marketing the Kurt Vonnegut Way

One of the things I love about Kurt Vonnegut, and the reason I mention him in my writing talks, is his ability to create visual imagery in his writing.

I’ve been on a metaphors are better than similes kick lately — I’ll save that topic for another time — so I’ve been paying more attention to this in my reading. I saw an excerpt of a Kurt Vonnegut interview on a Paris Review blog post that reminded me of what makes him such an important writer.

In this particular segment, he’s talking about a 240 millimeter Howitzer he had done basic training on, the largest weapon in the US military at that time (WWII). The interviewer said, “It must have been a thrill to fire such a weapon.”

Vonnegut said:

Not really. We would put the shell in there, and then we would throw in bags of very slow and patient explosives. They were damp dog biscuits, I think. We would close the breech, and then trip a hammer which hit a fulminate of mercury percussion cap, which spit fire at the damp dog biscuits. The main idea, I think, was to generate steam. After a while, we could hear these cooking sounds. It was a lot like cooking a turkey. In utter safety, I think, we could have opened the breechblock from time to time, and basted the shell. Eventually, though, the howitzer always got restless. And finally it would heave back on its recoil mechanism, and it would have to expectorate the shell. The shell would come floating out like the Goodyear blimp. If we had had a stepladder, we could have painted “Fuck Hitler” on the shell as it left the gun. Helicopters could have taken after it and shot it down.

What caught my eye about Vonnegut’s answer is the way he describes how slow and inefficient the firing system was. He didn’t just say “it was slow” or fire off some witty simile about molasses and icebergs. Instead he took 13 sentences — using 15 metaphors and 2 similes — to explain how slow the gun was.

  • He referred to the “slow and patient explosives” as damp dog biscuits. That gives me an idea of the consistency and feel of the explosives, as well as their effectiveness. It also made me laugh, because I like the hard consonant sounds of the D’s, P’s, and K (in biscuit).
  • He said the sound was like “cooking a turkey,” and then followed it up with imagery of “basted the shell.” The fact that he said they could have done that in utter safety also shows how slow the process was.
  • The word “expectorate” means more than just “spit out.” It’s that thing old men do when they make that deep snk-k-k-k-k in the back of their throat and then spit. His term makes me think of old men retching up a gob of spit, which speaks to the thickness and fullness of what the gun was firing.
  • The idea of the floating shell is reinforced by the idea of them painting the shell as it left the gun.

This is also how good stand-up comics work. They take a single idea, a single incident, or even a single conversation, and expand on it. Vonnegut took “the gun was slow to fire” and turned it into a 165 word epic description of just how slow the firing process actually was.

As bloggers and content marketers, you can use the same techniques to convey ideas in your own writing. Rather than a detailed, lengthy, and technically accurate description, try using metaphors and similes to make your writing more easily understood. And interesting.

An Open Letter To Young Writers Applying For Writing Jobs

As far as I’m concerned, it’s a damned shame that young writers’ cover letters sound sterile and devoid of any emotion, hag-ridden with mediocrity, boredom, and apathy. If this is what you’re trying to show your potential employer, then I think you’re not going to work for anyone.

With apologies to Hunter S. Thompson (more on that in a minute), if you’re a young writer looking for writing jobs, you can’t write a regular cover letter to get an employer interested in you. (Ditto for experienced writers. You just ought to know better by now.).

You can’t follow the same formula your career services advisor gave you, or the advice you’ve read in other career articles. (See LifeHacker’s article on how not to write a bad cover letter.)

Your cover letter has to kick ass. It has to be moving. It has to be so amazing that the hiring manager leaps out of her chair, clutching your letter in her hand, shouting, “Eureka! I’ve found him!”

Think about it: the one thing you’re good at, the one thing you’ve trained for and worked toward over the last several years, and you already show you suck at it with your cover letter. How much confidence is that going to instill in anyone? As a writer, it’s your responsibility — nay, your duty — to knock this thing out of the park.

You can’t open with, “To Whom It May Concern: I am interested in applying for the junior copywriting position I saw on your website.” Of course you are. Why else would you write a letter with your résumé and press clippings?

Do what you learned in journalism or creative writing and make your opening lead as dramatic and attention grabbing as you can.

Try, as Hemingway once said, writing drunk, and editing sober. Be bold, be daring, be a little crazy. Inkslingers are not known for being completely stable, especially when showing off for other writers. And you’re sending your best work to other writers who will silently, but instantly, judge you for the quality of your cover letter. So show off.

A letter that a young Hunter S. Thompson wrote to the publisher of the Vancouver Sun asking for a job is still making the Internet rounds with people reveling in its audacity, wondering if they could pull something like that off.

Of course, at age 21 Thompson was, as the Gawker called, an arrogant little shit. But maybe there’s something to it.

You may not want to go insulting your potential new employer by calling his people dullards, bums, and hacks, at least not if you want to make friends there. But there’s something to be said for letting your voice shine through.

TO JACK SCOTT, VANCOUVER SUN

October 1, 1958 57 Perry Street New York City

Sir,

I got a hell of a kick reading the piece Time magazine did this week on The Sun. In addition to wishing you the best of luck, I’d also like to offer my services.

Since I haven’t seen a copy of the “new” Sun yet, I’ll have to make this a tentative offer. I stepped into a dung-hole the last time I took a job with a paper I didn’t know anything about (see enclosed clippings) and I’m not quite ready to go charging up another blind alley.

By the time you get this letter, I’ll have gotten hold of some of the recent issues of The Sun. Unless it looks totally worthless, I’ll let my offer stand. And don’t think that my arrogance is unintentional: it’s just that I’d rather offend you now than after I started working for you.

I didn’t make myself clear to the last man I worked for until after I took the job. It was as if the Marquis de Sade had suddenly found himself working for Billy Graham. The man despised me, of course, and I had nothing but contempt for him and everything he stood for. If you asked him, he’d tell you that I’m “not very likable, (that I) hate people, (that I) just want to be left alone, and (that I) feel too superior to mingle with the average person.” (That’s a direct quote from a memo he sent to the publisher.)

Nothing beats having good references.

Of course if you asked some of the other people I’ve worked for, you’d get a different set of answers.

If you’re interested enough to answer this letter, I’ll be glad to furnish you with a list of references — including the lad I work for now.

The enclosed clippings should give you a rough idea of who I am. It’s a year old, however, and I’ve changed a bit since it was written. I’ve taken some writing courses from Columbia in my spare time, learned a hell of a lot about the newspaper business, and developed a healthy contempt for journalism as a profession.

As far as I’m concerned, it’s a damned shame that a field as potentially dynamic and vital as journalism should be overrun with dullards, bums, and hacks, hag-ridden with myopia, apathy, and complacence, and generally stuck in a bog of stagnant mediocrity. If this is what you’re trying to get The Sun away from, then I think I’d like to work for you.

Most of my experience has been in sports writing, but I can write everything from warmongering propaganda to learned book reviews.

I can work 25 hours a day if necessary, live on any reasonable salary, and don’t give a black damn for job security, office politics, or adverse public relations.

I would rather be on the dole than work for a paper I was ashamed of.

It’s a long way from here to British Columbia, but I think I’d enjoy the trip.

Not surprisingly, Thompson didn’t get the job, but don’t let that stop you. You don’t have to be as over the top as Thompson was 45 years ago (and especially don’t be as over the top as he was 10 years ago), but try to incorporate some of his boldness in your next cover letter.

After all, the stuff you’ve been sending hasn’t been doing you any good, so what do you have to lose?

Watch Out for Muphry’s Law

Yes, Muphry’s.

M-U-P-H-R-Y.

You thought I misspelled Murphy, and you were going to rush in here and catch me, didn’t you? “A-ha, Mr. Grammar Pants! I caught you.”

Except you didn’t. It really is Muphry’s Law.

It’s a variation of Murphy’s Law, “anything that can go wrong will go wrong.”

Muphry’s Law says, “if you criticize anyone’s grammar, punctuation, or spelling, you’ll have your own grammar, punctuation, or spelling errors in your criticism.”

You usually see Muphry’s Law in action when political arguments on Facebook turn into flame wars, which usually turn into finger pointing about how idiotic a person is because they forgot to capitalize the “N” in “Nazi,” and so your entire argument, as well as your entire political party, will crumble because “no, YOUR the idiot!”

(See what I did there?)

I’ve fallen prey to Muphry’s Law plenty of times, especially when I write blog posts complaining about grammar sticklers and their nerdy obsession with using language “properly” but are actually wrong or outdated about their reasons. It’s embarrassing when I write a blog post decrying bad writing, only to find that I made a typo.

The only other people we love roasting more than erroneous grammar bullies are televangelists — the ones who tell us to live a godly life and send them lots of money — who are then either caught with their hands in the cookie jar or their mistress’ blouse. We heap scorn and derision on them the way an obsessive gardener piles manure on her tulip beds.

Similarly, God help you if you ever call someone out for making a stupid spelling mistake only to make one yourself. If there is ever a time to pause, write and rewrite, before you ever submit a comment to anyone, this is it.

Muphry’s Law, like irony, is cruel and heartless, and he will cut you.

There Is No ‘Future Of Content Marketing’

There is no Next Big Thing in content marketing.

I was asked about that at a talk this week. “What’s the future of content marketing?”

I told them, “Nothing is going to change. There will be no dramatic developments, or exciting new technology that will change what content marketing actually is.

Even on this thing, I can still create content. The only thing that’s changed is that my laptop is not as noisy.
“Content marketing is just marketing. It’s persuading people with words, images, and sounds.

“What major changes can you make with that?”

Oh sure, I’ll grant you that developing a written language was pretty major, because we could finally write our oral traditions and stories down on papyrus, like the Sumerian version of Epic of Gilgamesh in 2000 BC, making it one of the first examples of early literature. But even marketing goes back nearly that far, when Egyptians used to put sales messages on papyrus.

Then in 1450, Johannes Gutenberg invented the movable type printing press, and we could produce books more quickly and cheaply, instead of carving pages out of blocks or wood, or copying them by hand. Advertising was done with town criers and posters containing images and not words, since citizens couldn’t read.

In 1978, at age 14, V.A. Shiva Ayyadurai invented email, and in 1989, Tim Berners-Lee invented the World Wide Web, launching the world’s first web server on a NeXT Computer, a company founded by Steve Jobs. With that, we could share words, and later, images and sounds, with the entire world, and then spam the bejeezus out of it.

The next big switch was the advent of smart mobile phones, but even that’s not a major change. It’s the Internet on your phone. It’s Tim Berners-Lee’s invention miniaturized.

We’ve created websites, blogs, Tumblr, and Twitter. Flickr, Picasa, and Instagram. YouTube, Vimeo, Hulu, and Vine. Streaming audio, Internet radio, and podcasts. We get it all on our desktops, laptops, tablets, and smart phones. We create amazing new layouts, like Starbucks’ Instagram feed, the I Hear Of Sherlock Everywhere Flipboard magazine, or the Tuneage tumblog.

It doesn’t change anything. It doesn’t create anything new. With all new technological developments and all the different ways to use these tools, there is one constant: we’re sharing good writing, interesting images, and pleasant sounds.

You can change the tools, you can invent new tools, you can come up with new technology. You can invent a 6-word microblog. You can create a 3-second video app. You can build a website that’s filled with nothing but selfies and kitty pictures. (It’s called Facebook.)

But even 10, 20, or 100 years later, people will still want and share good writing, interesting images, and pleasant sounds.

There will be no major change in the content marketing world, because the need for good content has not changed in 4,000 years. The good writers always rise to the top, the good artists are always seen (even if it is decades after they died).

The only thing that will change about content marketing is the name. Someone will come up with some new name, and that will be it. In fact, that’s already happened; now we’re calling it Owned Media (affiliate link).

I don’t care what happens to the web. We could get it on our glasses. We could have it beamed directly to our brains. We could shut it off tomorrow. We will still need people to create the stuff that goes into the machine so we can read it, watch it, and listen to it.

So if you’re wondering what you should do to jump on the next wave of content marketing, forget it. Don’t try to capture the next wave. Focus instead on being a good writer, photographer, videographer, or sound producer. That will outlive every technological change for the next 4,000 years.

Five Things To Stop Putting In Your Press Releases

Press releases are one of those not-dead-yet tools that lazy PR professionals still insist on sending out to hundreds and thousands of journalists and bloggers. I still get press releases for movie releases taking place in L.A., inviting me to attend the red carpet rollout of some indie movie. Clearly they’re not culling their lists.

When I did crisis communication, we got a real sense of pride if one of our releases was published verbatim, or nearly so, by our state newspapers. That’s how we knew the real journalists were taking us seriously. That, and our success rate (it was an outstanding day if you could bat .500 on story placement). To do it, we needed solid, tight news stories, not a marketing puff piece.

Many releases I see are just abysmal. I don’t know if the agencies are teaching young flaks the wrong way, or if they’re teaching it in college, but there are some serious errors that are keeping your stories from getting published at all. Here are five things you need to stop putting in your press releases.

1. Marketing copy, especially in the opening paragraph

“ABC Coffee Stirrers, the leader in the coffee stirring industry since 1978 and the developer of the Turbo-Whoosh titanium stirrer, is pleased to announce the acquisition of Global Stirrings, a Canadian coffee stirrer manufacturer.”

Do you see all that dreck? All that extra crap about ABC’s history? That’s amateur hour. That stuff goes at the end of the press release in the <H2>About ABC Coffee Stirrers</H2> section. You know, the part nobody reads. It’s going to get cut out anyway, because journalists like real openings, not a copy-and-paste of your About Us page. When you write that, you sound like a flak, not a journalist, and the editor may pitch the release out of spite and loathing.

2. Adverbs, adjectives, and competitive language

“ABC Coffee Stirrers have proved to be 33% more effective at mixing a coffee drinker’s cream and sugar into their beloved morning java. And customers have eagerly demonstrated their strong preference for the Turbo-Whoosh by increasing sales by a staggering 12% every year for the last five years!”

Newspapers and TV stations are supposed to present the news in an unbiased, objective manner. That means they don’t get to express their opinion. They don’t get to say whether something is good or bad. They typically don’t talk about products, unless those products killed someone.

That means they’re not going to talk about how much better your product is than anyone else’s. They’re not going to publish the “news” written by your product manager. And they’re not going to talk about increased sales, customer preference, or improved performance.

You may get that kind of coverage in trade and industry journals, but you still need to avoid the adverbs and adjectives. If your press release sounds like a freshman English Comp essay, pitch it and start over.

3. Copyright and Trademark symbols

The company lawyer may have told you to put them in the release, but the ®, ©, and ™ symbols don’t belong in press releases for two simple reasons:

  1. They could interfere with SEO. While we can’t be sure how Google treats these, why risk it? Maybe they ignore those symbols, but maybe they treat it like a regular word. No one is going to search for ABC™ Coffee Stirrers®, so don’t make that a search term.
  2. Those don’t appear in news stories. The editors are going to delete them anyway, so don’t make extra work for them or you.

Unless the company lawyer also has a background as a journalist, ignore anything they tell you about writing press releases.

3. “We’re very excited” quotes

“We’re very excited about the merger between our companies.”

“We’re very excited about our laptop upgrades.

You can’t be equally excited about both things. Saying “we’re very excited” about every damn thing that happens is either lazy writing, or your CEO is off her meds. Find another way to express interest or enthusiasm. Better yet, don’t even bring it up at all. We all know you didn’t interview the CEO for this, and if you did, she probably didn’t say this at all.

Talk about the benefits of the news item. Is the merger going to add jobs? That’s your lead quote. Is it going to improve profitability by $10 million? Then that is. No one cares who’s excited; that’s not news. The jobs and profitability are exciting. Only include things that drive the story.

4. Business jargon quotes

“This new relationship will help us streamline mission-critical functionalities as a way to regenerate impactful niches.”

No one talks that way in real life. If they do, make sure they aren’t having a stroke.

But even if they do, preserve their reputation and avoid marketing words altogether. Make them sound like a real human being since, not a marketing textbook.

(Note: It’s easy to confuse marketers with real human beings, but do your best. Give them the benefit of the doubt, and translate their marketing gobbledygook into real words.)

If you don’t have good quotes, the journalist will either email you or call you for a follow-up quote that uses real words. Save them the time and give them a quote that sounds realistic and not one made up by the Dack.com Bullshit Generator (which is what I used to write that sentence above).

A press release is supposed to sound like a real news story written by a real journalist. Most PR flaks don’t know what that looks like, so they keep putting out the same garbage week after week. Then they complain that their stories aren’t being published and that their clients aren’t getting any traction. Start writing real journalistic stories and send out only newsworthy items. You’ll see your success rate — and self-respect — increase.
